Purpose¶
To set out the operational process behind Constitution Section 4 (Membership) - how someone actually joins, resigns, or is removed, and how the membership register is kept accurate. The Constitution sets the principles; this document is the how.
Scope¶
Applies to all BRSA members and membership applicants.
Joining¶
Applications come via the website's Join page, or by direct contact with the Committee. Acceptance is subject to the Committee's agreement under Constitution 4.1. Where an application is declined, this is communicated to the applicant, and Constitution 4.3's right to request reasons in writing applies the same way it does to revocation.
Membership Categories and Fees¶
Any categories of membership and associated fees are set by Committee resolution under Constitution 4.2, and published on the website when established. This procedure doesn't set the categories itself - it covers keeping the register and website in sync once they're decided.
The Membership Register¶
The Ghost member database is the operational source of truth for who is currently a member. The Technical Lead maintains it technically; membership decisions themselves (acceptances, declines, resignations, removals) are recorded in the Committee Minutes as the governance record of what was decided and when.
Resignation¶
A member may resign at any time by telling the Committee. The resignation is recorded, and their data is handled per POL-007 (Records Retention Policy) from that point.
Removal or Revocation¶
Handled as a Committee decision under Constitution 4.3. Given the sensitivity, this is normally confidential business (PROC-002, TMP-004) rather than recorded in the open Committee Minutes. The member has the right to request the Committee's reasons in writing. Any Committee member with a personal connection to the matter declares an interest under POL-006 and steps back from the decision.
