Purpose¶
To set out a lightweight, consistent process for bringing on volunteers and helpers - anyone taking on a role beyond ordinary membership - as BRSA grows past a point where this can be handled informally.
Scope¶
Applies to anyone taking on a volunteering role for BRSA, including Committee members. Does not apply to ordinary members who join but take on no role.
Becoming a Volunteer¶
Anyone interested in helping expresses this to the Committee. The Committee discusses the role and what it involves with them before it starts - what's expected, roughly how much time it takes, and who they'd be working with.
Vetting¶
Proportionate to the role. For most volunteering, no formal vetting is required. Where a role involves regular contact with children or vulnerable adults, see POL-008 (Safeguarding Policy) for whether any additional check applies - this needs a case-by-case decision, not an assumption either way.
Onboarding¶
Before starting, a volunteer should:
- Read and acknowledge POL-003 (Code of Conduct).
- Be briefed on POL-006 (Conflicts of Interest Policy) if the role involves any decision-making.
- Be given only the system access their role actually needs, following POL-002's principle of least privilege.
Committee members additionally need a brief walkthrough of the Constitution and PROC-002 (Committee Meetings and Minutes), and anything specific to the role they're taking on (for example, the Technical Lead handbook of infrastructure documentation, held separately from this governance repo).
Ending a Volunteering Role¶
Access is removed per POL-002 as soon as it's no longer needed, not left to lapse. Where practical, there's a short handover of anything the role was responsible for, and a thank you.
